Our Process
How we Work
Vertex works through a clear process designed to reduce confusion, improve early alignment and keep projects moving in the right direction.
We are not a reactive business. Every project follows a structured path from first conversation through to post-show — so you always know where things stand and what is coming next.
Step by step process
A clear path from brief to breakdown
Brief & Discovery
Understand the event, the objective and the practical requirements. Before anything else, we take time to properly understand what you are trying to achieve — the show, the venue, the floor size, the audience you are speaking to and what a successful stand looks like for your business. We ask the right questions at the start so nothing important gets missed late in the process.
Budget & Brief
Sense-check budget and capture a structured brief. We help you separate your total event budget from what is realistically available for the stand build. Using our budget planner and AI brief builder, we capture your requirements in a structured way. This means the brief going into design is grounded in reality — not assumptions that create problems later.
Brief Sign-Off
Confirm the brief before design starts. We do not begin design work until the brief has been agreed by both sides. This protects your time and ours. A clear, confirmed brief means the first design concept is directionally right — not an initial guess that needs to be walked back. It also means the cost proposal you receive reflects what you actually need, not a generic estimate.
Design & Proposal
Develop design and proposal clearly. Our designers develop concepts based on the confirmed brief, not around what looks impressive on screen. You see realistic designs with production costs built in from the start. We present clearly, explain the thinking and refine based on your feedback. Once the design and proposal are approved, we move into production with confidence — no mid-project surprises.
Build & Delivery
Manage production, logistics and delivery through a structured handover process. Once design is approved, we manage everything — fabrication, graphics production, logistics, installation and venue coordination. You have one point of contact throughout. We handle organiser requirements, access arrangements, on-site compliance and anything else that needs to be coordinated before you arrive at the show.
Breakdown & Beyond
Support breakdown, post-show options and future event thinking where relevant. The process does not stop when the show closes. We manage full breakdown and return logistics as part of the same structured engagement. Where relevant, we also help you think about how the stand or its components could be reused, adapted or refreshed for future events — reducing cost and wasted effort across your wider exhibition programme.
What this means for you
Structured, not chaotic
Every step in the process is designed to reduce the risk of the things that most commonly go wrong on exhibition projects.
No surprises late in the project
Budget, brief and design are all confirmed before production starts. That means cost certainty and no expensive late changes.
One point of contact throughout
You do not manage multiple suppliers or chase updates from different directions. One relationship, one process, one delivery.
A process that scales with you
Whether this is your first exhibition stand or your twentieth, the structure works the same way. Clear, repeatable and commercially sensible.
It depends on stand complexity and show date, but most projects run over 6–10 weeks. We can work to tighter timelines where needed — the earlier you come to us, the more options you have.
Yes. We design with your budget in mind from the start, not after the fact. Being clear about budget early is one of the most important things you can do to get a good outcome.
We handle breakdown and return logistics. We can also store stand components if you are planning future shows, and we are happy to discuss how assets could be adapted or reused.
That is fine — it is actually one of the things we are set up to help with. The AI brief builder and budget planner are designed specifically for people who are not yet sure exactly what they need.
No — most clients are not. We manage the full installation and will only contact you if something needs a decision. You can arrive at a completed stand on show day.
Yes — we deliver across the UK. Our Midlands base means we operate efficiently at the NEC and ICC, but we are regularly working at ExCeL, Manchester Central, Scottish Event Campus and other venues nationwide.
